SaaS Marketing Automation

Our SaaS marketing automation work connects product usage data to your email, in-app and sales workflows. A trial user who invited three teammates needs a different message than one who never logged in again. Many SaaS lifecycle programs still send both the same drip. We build journeys around real behavior and route accounts that look ready to buy to sales.

Key takeaways

  • A tracking plan names each event, its properties and whether it belongs to a user or an account.
  • Accounts that meet your product-qualified definition are routed to a rep with a summary of recent activity.
  • Commercial and transactional messages stay separate, often on different sending subdomains.
01

Lifecycle Journeys for Software Companies

Each journey is tied to a product event or account state, not just a signup date.

  • Trial and Freemium Onboarding

Messages that point each user to the next setup step they have not finished.

  • Activation Nudges

Prompts tied to the actions that predict retention in your product, such as connecting data or inviting a teammate.

  • Upgrade and Expansion

Messages when an account nears a seat, usage or feature limit.

  • Sales-Ready Account Alerts

Notifications to sales when usage patterns suggest a team is ready to talk.

  • Churn-Risk and Win-Back

Outreach when usage drops, plus follow-up after a cancellation.

  • Failed Payment Emails

Dunning sequences connected to billing tools such as Stripe or Chargebee.

02

Getting Product Data Into Your Marketing Tools

Behavior-based journeys need clean event data. We start with a tracking plan that names each event, its properties and whether it belongs to a user or an account. Inconsistent event names are a common reason triggers misfire.

Data can flow in several ways. A customer data platform such as Segment can send events to your marketing platform. Product analytics tools such as Mixpanel or Amplitude can share cohorts. If your data lives in a warehouse, reverse ETL tools such as Hightouch or Census can sync it out.

Your engineers usually need to add or fix some events. We write the spec in plain terms, so the request is clear and small. For lighter syncs, our workflow automation service can connect apps through n8n, Zapier or Make.

03

Handing Product-Qualified Accounts to Sales

In a product-led model, the warmest leads are often already using the product. We help you define what a product-qualified account looks like, such as several active users, a key feature used weekly or a team on a paid trial.

When an account crosses that line, it is routed to the right rep in your CRM, with a summary of recent activity. AI can draft that summary from usage data. Reps should still check it before calling, because summaries can miss context. Our CRM implementation service sets up the routing and fields.

We also add frequency caps. Users who are active and happy should not get a sales email every week.

04

Email Rules, Consent and in-App Messages

Product notifications and marketing emails follow different rules. Under CAN-SPAM, a message whose main purpose is commercial needs an unsubscribe link and your physical address. Transactional messages, such as password resets and billing notices, have fewer requirements. We keep the two types clearly separated, often on different sending subdomains.

If you have users in the EU or UK, GDPR rules on consent and data use also apply. We set consent fields and suppression rules to match your policy.

In-app messages through tools like Intercom, Appcues or Pendo can carry onboarding prompts without adding to email volume. Our SaaS email marketing service writes and designs the email side.

05

Pricing and How We Report Results

Lifecycle audits and journey builds get a fixed quote in writing, and ongoing management starts at $1,000 a month. Platform and data tool fees are billed by each vendor.

We report activation, trial-to-paid conversion, expansion and reactivation for each journey, using holdout groups where volume allows. We will not promise lower churn or higher revenue, since product and pricing drive both. For new trial signups, see our SaaS PPC service, and browse all our AI automation services and marketing automation options.

FAQ

SaaS Marketing Automation Questions, Answered

Straight answers to the questions we hear most. Ask us anything else on the free audit call.

Customer.io, Braze, HubSpot, Marketo and Intercom are common choices. The right one depends on your data setup and whether you sell self-serve, through sales or both. We work in what you have where possible.

Not always. Smaller teams can send events straight from the product to the marketing platform. A CDP or warehouse sync helps once you have many tools that need the same data.

Yes. Self-serve users get automated journeys, and larger accounts get routed to sales. We set rules so the two do not send conflicting messages.

It depends on your current tracking. If key events already exist, the work is small. We write a clear event spec, so your engineers know exactly what to add.

We cannot promise that. Churn depends mostly on product fit and value. Automation helps you spot risk earlier and reach users at the right moment.
