Healthcare Marketing Automation
We build healthcare marketing automation for practices, clinics, health systems and health companies. Typical workflows include appointment reminders, intake follow-up, recall messages and post-visit surveys. In healthcare, the tool matters as much as the message. Any vendor that handles patient information for you must sign a HIPAA business associate agreement first.

Key takeaways
- Each vendor's current BAA terms are checked before any workflow is designed.
- Reminder texts confirm a time and place without naming a condition or procedure.
- Ad pixels stay off patient portals, booking flows and intake forms, and urgent messages go straight to staff.
Business Associate Agreements Come Before Tool Choice
Under HIPAA, a vendor that creates, receives, stores or sends protected health information for a covered entity is a business associate. You need a signed business associate agreement, or BAA, with that vendor before patient data flows to it. That includes your CRM, texting tool, email platform, form builder and any AI model provider in the workflow.
Many popular marketing tools will not sign a BAA, or offer one only on certain plans. We check each vendor's current terms before we design anything. If a tool will not sign, we keep patient information out of it. A general newsletter to an opted-in list, with no health details, can often run on a standard platform.
Protected health information stays in your secure systems, and we discuss a business associate agreement with you before any work that could touch patient data. Your privacy officer approves the final tool list and data flows.
Reminders, Marketing and What HIPAA Treats Differently
HIPAA draws a line between messages about a patient's own care and marketing. Appointment reminders and care coordination generally fall on the care side. Many marketing uses of patient data, by contrast, need the patient's written authorization. The exceptions are detailed, so your privacy officer or counsel decides which side each workflow falls on.
We keep message content lean. A text can confirm a time and location without naming a condition or procedure. Texts go only to patients who agreed to receive them, and every message includes a way to opt out.
Tracking needs the same care. HHS has issued guidance on online tracking technologies, so we keep ad pixels off patient portals, booking flows and intake forms. Some states also regulate consumer health data outside HIPAA, such as Washington's My Health My Data Act.
Workflows We Build for Practices and Health Systems
Each workflow is mapped with your front desk or patient access team first, because they handle what automation cannot.
Appointment Reminders and Confirmations
Text and email reminders with confirm, cancel and reschedule options.
No-Show and Reschedule Follow-Up
A prompt to rebook after a missed visit, routed to staff if the patient replies.
Recall Reminders
Annual exams, cleanings, screenings and follow-up visits based on your scheduling data.
Intake and Form Reminders
Nudges to finish paperwork before the visit, on a form tool covered by a BAA.
Referral Follow-Up
Status updates and scheduling prompts for referred patients.
Surveys and Review Requests
Post-visit surveys and review invitations, with staff trained never to confirm patient details in public replies.
Healthcare AI Automation: Useful, With Firm Limits
AI can sort incoming patient messages into the right queue, summarize intake forms for staff and pull fields from referral documents. It can also draft reminder copy and survey summaries for review.
It must not diagnose, triage symptoms or give medical advice. A chatbot or message classifier should send anything that sounds urgent straight to staff, with instructions to call 911 in an emergency. Staff review any AI-drafted message that includes clinical information before it goes out. The AI provider needs a BAA if patient information reaches it, and we test with de-identified data first.
Good AI automation for healthcare keeps a person in charge of anything clinical. For chat and voice assistants, see our AI agents and chatbots service. If you need workflows to run on your own servers, our workflow automation service can set up self-hosted n8n.
Costs and How We Measure Results
Workflow audits and builds get a fixed quote in writing, and managed support starts at $1,000 a month. Software fees, including any HIPAA-eligible plans, are billed by each vendor and may cost more than standard plans.
We will not promise fewer no-shows or lower costs. We track confirmation rates, rebooked visits, recall bookings and survey completion against your baseline.

Healthcare Marketing Automation Questions, Answered
Straight answers to the questions we hear most. Ask us anything else on the free audit call.
It changes over time and often depends on the plan you buy. Some CRMs, texting tools and form builders offer a BAA on higher tiers. We confirm current terms with each vendor before recommending it.
Generally, no. Reminders about a patient's own care are usually treated as part of treatment or operations. Your privacy officer should confirm how each message type is classified.
Yes, for scheduling, directions, insurance questions and general information. The bot should not give medical advice and should route urgent messages to staff. If it collects health information, the AI vendor needs a BAA.
Only with great care. Ad pixels on pages that reveal health conditions or collect patient details can create HIPAA risk. We keep pixels off those pages and use general audiences instead.
No. We build with HIPAA in mind and flag risks, but your privacy officer or counsel makes the final call. We document every data flow to make that review easier.
