Healthcare Email Marketing

Healthcare email marketing helps practices, clinics and health organizations stay in touch with patients without putting their privacy at risk. Patients want reminders, clear instructions and useful health information. They do not want a promotion that hints at their diagnosis in the subject line. We plan and run patient email programs with those limits built in from the start. To reach new patients, see our healthcare lead generation service.

Key takeaways

  • Messages are sorted into care-related communication and marketing first, because HIPAA treats the two differently.
  • Marketing emails use general wording and are not segmented by condition unless your authorization process covers it.
  • Tracking that would send patient data to ad platforms is left out, and reporting stays at the campaign level.
01

Email Marketing for Doctors Starts With the HIPAA Question

Before we write a single email, we sort your messages into two groups. The first is care-related communication with your own patients, such as appointment reminders, prep instructions and follow-up. The second is marketing, such as promoting a new service, a seasonal clinic or a cash-pay offering.

HIPAA treats these groups differently. Using protected health information (PHI) for marketing can require written patient authorization, with some exceptions. Any vendor that handles PHI for you, including an email platform, should sign a business associate agreement (BAA). Many popular marketing platforms do not sign one, so tool choice matters.

We keep the line clear. Marketing emails go to people who opted in, use general wording and do not segment by condition unless your authorization process covers it. Your compliance officer or counsel makes the final call. We build to their guidance.

Medical Email Marketing Programs We Run

Most providers need a mix of service emails and general outreach.

  • Patient Newsletters

Seasonal health tips, new providers, new locations and office updates in a monthly or quarterly email.

  • Preventive Care Reminders

Annual physicals, screenings and vaccine season reminders, written in general terms. Dental offices that run on recall intervals can see our dental practice email marketing page.

  • New Patient Onboarding

Welcome emails with forms, portal signup steps, what to bring and how to reach the office. For workflows that run across email, text and your CRM, see our healthcare marketing automation page.

  • Service Line Launches

Announcements for new specialties, telehealth options or extended hours, sent to opted-in contacts.

  • Referring Provider Updates

Short emails to physicians who refer to your specialty, with contact and referral steps.

03

Platform, BAA and Data Setup

Your patient data lives in an EHR or practice management system, such as Epic, athenahealth, eClinicalWorks or NextGen. We keep protected health information in your secure systems and out of marketing email, and we do not pull clinical records into a marketing tool. We discuss a business associate agreement with you before any work that could touch patient data. We sync only what each email needs, such as name, email, preferred location and last visit date.

For emails that involve PHI, we help you choose a platform that signs a BAA and supports encryption, access controls and audit logs. For general marketing to the public, such as a health fair invitation, a standard platform may be fine. Many organizations use both, with clear rules about what goes where.

We also set up SPF, DKIM and DMARC so inbox providers can verify your emails and they are harder to spoof. Patients are right to be wary of fake medical emails, and authentication helps.

04

How We Measure Results Without Overreaching

We track the basics: deliveries, clicks, unsubscribes and spam complaints. Where your scheduling system allows it, we also count appointments booked from email links.

We do not use tracking that would send patient data to ad platforms. Tracking pixels and similar tools on health pages have drawn regulator attention. We keep reporting at the campaign level and avoid tying clicks to diagnoses.

We will not promise a set number of new patients. We will show you which emails led to bookings, which drove calls and which need work. For how this fits a wider plan, see our email marketing services. Optometrists and LASIK centers can see our eye care marketing page.

FAQ

Healthcare Email Marketing Questions, Answered

Straight answers to the questions we hear most. Ask us anything else on the free audit call.

Some do and many do not, and terms change. We check the current BAA offer for any platform before we recommend it. If a platform will not sign one, we keep PHI out of it entirely.

Often yes, if they opted in and the email stays general. Some uses of PHI for marketing need written authorization. We draft the email and your compliance lead confirms it fits your policy.

Setup gets a fixed quote up front, and monthly management starts at $1,000 a month. Cost depends on locations, service lines, your platform and how much review your compliance team needs. We quote after a short review of your setup.

Both. A single practice may need a newsletter and a few automations. A larger group may need location segments, provider approval workflows and several platforms. We size the plan to fit.

Yes, for commercial emails. That means honest subject lines, your postal address and a working unsubscribe link. Appointment reminders and other transactional messages follow different rules, but we still keep them clear and accurate.
