Key takeaways

  • Topics come from the questions prospects raise most often with your sales staff.
  • Registrants are split into groups after the session, and each group gets a different follow-up message.
  • Poll answers about buying timelines tell sales who to contact first.
01

Picking a Topic People Will Register For

People register for webinars that solve a problem they have this quarter. A session on a narrow, practical question usually beats a broad overview of your product. We start by asking your sales team which questions prospects raise most often.

The format matters too. A short workshop with a worked example suits technical buyers. A panel with a customer or partner adds credibility and a second audience. A live Q&A works well once people already know you. A recurring series builds a habit and gives you more chances to follow up.

Your speakers should be people buyers want to hear from, such as a founder, an engineer or a customer. We help them shape a clear outline and slides, but the expertise comes from them. Coaches who run webinars can pair this with our branding for coaches.

02

How Webinar Promotion Works

Many people register in the final days before a session, but planning starts weeks earlier. We combine channels based on your list size and budget.

  • Email to Your List

An invite sequence to contacts who have opted in, with reminders that point to the agenda and speakers.

  • LinkedIn

Event pages, posts from your speakers and ads with Lead Gen Forms aimed at job titles and companies.

  • Partner Co-Promotion

A partner or guest speaker invites their own audience, which widens your reach without buying a list.

  • Paid Social and Search

Ads aimed at your target roles or at people who visited related pages on your site.

  • Sales Invites

Short personal invites from your reps to open deals and target accounts.

  • Website and Blog

Banners and links on related pages, plus a registration page that stays live as a replay.

03

Running the Live Session

We set up the registration page, confirmation emails and reminders in your platform. Common choices include Zoom Webinars, ON24, GoTo Webinar and Livestorm, many of which connect to HubSpot or Salesforce. If you do not have a platform yet, we recommend one based on audience size and your CRM.

Before the event, we run a tech rehearsal with your speakers. During the session, we can moderate questions, launch polls and watch for technical problems. Polls are useful for more than engagement. A question like when are you planning to make a change tells sales who to call first.

Every session is recorded for replay and for cutting into short clips.

04

Webinar Lead Generation After the Event

The follow-up is where most webinars succeed or fail. We split registrants into groups and send each one a different message soon after the session.

Attendees who asked questions or answered polls with a near-term timeline go to sales first, with their questions attached. Other attendees get the replay, the slides and a relevant next step, such as a demo or assessment. Registrants who missed the session get the replay and a short summary.

Emails follow CAN-SPAM, and registration forms explain how you will use the contact details. The replay then lives on an on-demand page that can keep collecting registrations.

05

What Our Webinar Marketing Service Costs

A single webinar campaign gets a fixed quote up front, covering the plan, registration setup, promotion and follow-up. A recurring series starts at $1,000 a month. Ad spend is billed separately, and your webinar platform license stays in your name.

Cost depends on how much promotion you need, whether we run paid ads, how many follow-up tracks we build and whether we produce slides or clips. We measure registrants, attendees, meetings booked and pipeline from each session. We will not promise attendance numbers, because they depend on your topic, list and speakers.

Webinars work best inside a wider inbound lead generation plan. See every channel on our lead generation services page.
