Key takeaways

  • A petition signer hears about the cause before any ask, while a first-time donor gets a thank-you and receipt right away.
  • Year-end and Giving Tuesday appeals are planned in late summer, with sending volume warmed up through the fall.
  • Impact numbers in updates come from your organization and are checked by your program staff before they go out.
01

The Donor Journey, One Email at a Time

People join a nonprofit's list in many ways. They sign a petition, attend an event, download a resource or give for the first time after a news story. Each of those people needs a different first email.

A first-time donor should get a thank-you and a receipt right away, then a welcome series that shows the work they funded. A petition signer should hear about the cause before being asked for money. A monthly donor should get updates and fewer appeals, so they feel like insiders rather than targets.

We map these paths with you, then build them as email automation flows that run on their own.

02

Email Marketing for Nonprofit Organizations: What We Build

Most programs combine automated journeys with a planned appeal calendar.

  • Welcome Series

Three to five emails that tell your story, show your impact and invite a first or second gift.

  • Gift Receipts and Thank-Yous

Fast, warm acknowledgments, plus a later note from a staff member or beneficiary.

  • Appeals

Multi-email campaigns for year-end, Giving Tuesday, emergencies and matching gift deadlines.

  • Impact Updates

Regular stories and numbers your program team can verify, sent through our newsletter management service if you want it handled end to end.

  • Monthly Giving and Lapsed Donor Emails

Upgrade asks for steady donors and reactivation emails for donors who have not given in a year or more.

03

Planning Year-End and Giving Tuesday

Many nonprofits raise a large share of online gifts between Giving Tuesday, the Tuesday after Thanksgiving, and December 31. That window decides a lot of annual budgets, so we plan it in late summer.

Planning covers the story and goal, a matching gift if you can secure one, segment-specific asks and a send schedule for the last days of December. We also warm up volume in the fall, so inbox providers are used to your sending before the busiest week. Spring and summer then focus on impact stories, events and list growth. For a wider marketing plan across channels, see our nonprofit marketing consultant service. Our email list building work helps add supporters before the next appeal season.

04

Donor Data, Receipts and Sending Rules

We work with donor CRMs and giving tools such as Bloomerang, Neon CRM, Blackbaud, Salesforce, Classy and Givebutter, plus email tools like Mailchimp and Constant Contact. The aim is one clean record per donor, with gift history that drives segments. A donor who gave a large gift last year should not get the same ask as someone who gave a small one.

The IRS requires a written acknowledgment for single gifts above a set amount. An email receipt can meet that need when it includes the required details, which your finance team should confirm.

CAN-SPAM mainly covers commercial messages, so some fundraising emails fall outside it. We still include your postal address and a working unsubscribe link in every send. Gmail and Yahoo bulk sender rules on SPF, DKIM, DMARC and one-click unsubscribe apply to nonprofits too. Many states also require charities to register before asking residents for donations, and your counsel can confirm whether online appeals are covered.

05

Email Marketing Services for Nonprofits on a Tight Budget

We know most nonprofits run lean. Setup projects get a fixed quote up front, and monthly management starts at $1,000 a month.

Cost depends on list size, how many appeals you run each year, whether we write all copy and how complex your donor data is. Many email platforms offer nonprofit discounts, and we help you check which apply. We will not promise a fundraising total. We report gifts and revenue by email, donor retention and list growth so your board sees the full picture. See our full email marketing agency services.
